Daycare operations in one system
Check-ins, staff ratios, care times, communication and substitutes. Knuut replaces paper lists and scattered apps with one system. More time for the children, less for admin.
An app for every role.
Admin, unit, staff, guardian, substitute and management see only what they need.
Admin web app · For admin and management
The whole organisation in one view. Children, staff, units, staff ratios, communication and substitute management. In a chain, each unit has its own admins and management sees them all.
- Children, guardians and staff
- Staff ratios across all units
- Announcements, polls and analytics
Knuut Attendance · The unit's shared phone for staff
One phone for the whole unit. Staff open the app with their own PIN, check in the children and themselves, see the group's staff ratio and reply to guardians' messages. Runs on an ordinary phone.
- In, out and absent
- Group staff ratio in real time
- Announcements and messages to guardians
Knuut Staff · For staff
Their own shifts and hours on the staff member's phone. Staff see their published shifts, send shift wishes and answer change proposals. Their own hours and clock-ins are in the same app. No access to children's data.
- Own shifts and change proposals
- Shift wishes before planning
- Own hours and clock-ins
Knuut Family · For guardians
Care times, announcements and messages on the guardian's phone. Guardians report care times and absences, even the same morning if a child falls ill. Polls are answered per child, and messages with staff happen in the same app.
- Care times, absences and holidays
- Announcements and polls per child
- Conversations with staff
Knuut Substitute · For substitutes
Open shifts straight to the substitute's phone. Substitutes see the organisation's open shifts, sign up and hear when they are chosen. No access to children's data or communication.
- Signing up for shifts
- Push notifications for new shifts
- Restricted view
Knuut Management · Mobile for admin and management
How the units are doing, when you are away from your desk. Attendance and staff ratios per unit, open shifts and notifications. The same information as in the browser, sized for a phone.
- Staff ratios per unit
- Creating shifts and choosing substitutes
- Notifications about exceptions
Less admin, more time for the children.
A daycare produces information every day: who is present, who is working, what guardians need to know. Knuut records it once, where it happens, and shows it to everyone in the right form. Paper lists, Excel and WhatsApp groups are no longer needed.
Recorded once. The same check-in shows in staff ratios, for guardians and in reports.
Only your own data. A guardian sees their own child, a substitute only shifts, a unit its own groups.
Everything a daycare needs. Nothing more.
Nine features built around a day at daycare. Each one has its own page.
Explore the featuresSix apps, one system for the whole organisation.
Attendance and check-ins
Check-ins, check-outs and absences on the unit's phone. No paper lists, no typing it all in afterwards.
Staff ratios
Staff ratios are calculated per unit from check-ins as the day goes on. Understaffing shows up right away, not a week later.
Care times and absences
Guardians report care times and absences on their phone, even on the day itself. The unit knows how many children to expect in advance.
Roster planning
A staff roster built on care times and staff ratios. Working time rules are checked as you plan, and staff see their shifts in the app.
Substitutes and open shifts
Open shifts are published to substitutes, who sign up in their own app. No round of phone calls.
Invoicing and service vouchers
Service voucher invoices from the municipal report, with client fees and sibling discounts. Invoices go to the guardian's app. No spreadsheets.
Communication
Announcements, surveys guardians can answer and a conversation for each child. Read receipts and reminders included.
Staff and documents
A staff member's basic details, qualification, unit and group, plus documents such as contracts and certificates, in one place.
Analytics and reports
A summary of check-ins and staff ratios over any date range. By unit and by group.
Why Knuut.
Built for private early childhood education.
Real-time staff ratios. The ratio is calculated from check-ins as the day goes on, not from a spreadsheet afterwards.
Built for the private sector. None of the weight of a municipal system. The features a private daycare actually uses.
Ready for chains. Several units in one organisation, admins for each unit and one view of everything for management.
In use for over a thousand children every day. The same system for a single-unit daycare and a chain.

Frequently asked questions
What does Knuut include?
Six apps: admin, unit, staff, guardian, substitute and management. Onboarding, support by phone, WhatsApp or email, and updates are included too. You can have unlimited users, units and devices.
Knuut in use in two hours. How does that work?
Getting started is quick. Daycare management should set aside about two hours for it. In that time we bring children, guardians and staff into the system, go through each app, and Knuut is in use the same day. Onboarding is not billed separately.
Does Knuut work for a chain with several units?
Yes. Units belong to the same organisation. Each unit can have its own admins who see only their own unit, and management has a view of all units at once. Substitutes can take shifts from every unit.
Does Knuut work for a single-unit daycare?
Yes. Many single-unit daycares use Knuut in their daily work.
What devices are needed?
Nothing new. The unit app runs on an ordinary phone, iPhone or Android. Admins use a web browser. Guardians, substitutes and management use their own phones, and the apps are in the App Store and Google Play.
How are staff ratios calculated?
The ratios come straight from the Finnish Early Childhood Education and Care Act (540/2018) and the decree issued under it. In a full-day group of children over 3, there may be at most seven children per ECEC professional (1:7). For children under 3 the ratio is 1:4, and for children over 3 in part-day care it is 1:13. Knuut calculates the ratio from check-ins in real time: when a child or staff member is checked in on the unit phone, the unit's ratio updates at once, and children under and over 3 are counted with their own coefficients. When a unit exceeds the legal ratio, the understaffing shows immediately in the unit and in admin, not a week later in Excel.
What do guardians see?
Their child's care times and absences, announcements, polls and conversations with staff. Guardians do not see each other or other children. A child can have several guardians, and each has their own account.
Who can see the children's data?
Only those it belongs to. A guardian sees their own child, a staff member their own unit, and a substitute no child data at all. Organisations cannot see each other. Every change to a child's data is logged with who made it, so you can always tell afterwards who did what and when.
Can we try it before deciding?
Every daycare can try Knuut free for a month. We do the onboarding together, the apps are taken into use and the whole organisation gets to try it. If Knuut is not right for you, the trial ends at no cost.
Where is the children's data stored and how is security handled?
Knuut is a Finnish company and was built from the start for Finnish early childhood education. All data about children, guardians and staff is stored on servers in the EU, and all data transfer is encrypted (TLS 1.3). Data is never sold, never shared with third parties and never used for advertising. Access is role-based: a guardian sees only their own child, a staff member their own unit, and a substitute no child data at all. Every change to a child's data is logged with who made it and when. Backups are taken daily and kept in a separate location. We follow the EU General Data Protection Regulation (GDPR) and act as the data processor, with the daycare as the data controller. A data processing agreement (DPA) is always signed during onboarding.
